WORKSHOP CANCELLATION, RESCHEDULING & REFUND POLICY
We understand that plans can change. However, because our workshops are intentionally kept small and are limited to a maximum of 4 participants, every reserved place is important.
For this reason, the following cancellation, rescheduling and participation conditions apply to all workshop bookings.
WORKSHOP LANGUAGE
All Koffie Academie workshops are conducted in English.
Participants should therefore have a basic understanding of English in order to follow the explanations, instructions and practical exercises during the workshop.
CANCELLATIONS & REFUNDS
Workshop bookings are non-refundable.
Once a booking has been confirmed and paid, no monetary refund will be issued if a participant decides not to attend.
This policy allows us to keep our workshops small, personal and properly organised while protecting places that may no longer be possible to fill at short notice.
CHANGING YOUR WORKSHOP DATE
If your plans change, you may request to transfer your booking to another available workshop date.
A date change is possible only when the request is received more than 7 days before the scheduled start time of your workshop.
Each booking may be transferred once only, and the new workshop date is always subject to availability.
No additional rescheduling will be possible after the booking has already been transferred once.
7 DAYS OR LESS BEFORE THE WORKSHOP
If your cancellation or rescheduling request is received 7 days or less before the scheduled workshop start time, the booking can no longer be refunded or transferred to another date.
The same rule applies to no-shows.
The booking will therefore be considered used if the participant does not attend.
BOOKINGS WITH MULTIPLE PARTICIPANTS
If one booking includes several participants, the same conditions apply individually to each reserved place.
A participant may be transferred to another available workshop date only if the request is received more than 7 days before the scheduled workshop start time and provided that the booking has not already been rescheduled.
Places cancelled 7 days or less before the workshop are non-refundable and cannot be transferred.
MINIMUM ATTENDANCE REQUIREMENT
Our workshops are designed for small groups and require a minimum of 3 confirmed participants to take place.
If fewer than 3 participants are booked for a scheduled workshop, Koffie Academie reserves the right to cancel or reschedule that session.
In this case, affected participants will be contacted as soon as possible and may choose between:
• transferring their booking to another available workshop date; or
• receiving a full refund of the amount paid.
Where possible, Koffie Academie will inform participants of any cancellation or rescheduling at least 48 hours before the scheduled workshop start time.
Any cancellation or rescheduling made by Koffie Academie due to insufficient attendance will not affect the participant’s right to a full refund.
CANCELLATION OR RESCHEDULING BY KOFFIE ACADEMIE
If Koffie Academie needs to cancel a workshop for operational reasons, including insufficient attendance, participants will be offered the choice of:
• transferring their booking to another available workshop date; or
• receiving a full refund of the amount paid.
If Koffie Academie needs to reschedule a workshop, we will contact participants using the contact details provided during the booking process.
If the proposed new date is not suitable, the participant will be entitled to a full refund.
REFUNDS
Where a refund is due under this policy, it will be issued to the original payment method used for the booking.
The time required for the refunded amount to appear in your account may depend on your bank or payment provider.
HOW TO REQUEST A DATE CHANGE
To request a change to your workshop date, please contact:

Please include your booking reference, the name of the participant concerned and, where possible, the alternative workshop date you would prefer.
Requests are subject to availability and are only confirmed once you receive confirmation from Koffie Academie.
PERSONAL DATA
Personal data provided in connection with a booking, cancellation, rescheduling or refund request will be processed only insofar as necessary to manage the workshop booking, payment, participation, refund and related customer service.
